In this job, here are some of the duties to be performed:

The accounting assistant provides administrative support to accountants, undertaking clerical tasks such as typing, filing, making phone calls, handling mail and basic bookkeeping. ... As well as helping the controller, the accounting assistant also deal with internal and external customers. This position will be responsible for managing payroll and billing processes. This will encompass timesheet set-up and collection, creating and distributing invoices and managing purchase orders and billing for one of our largest clients. This person will work closely with our external payroll service to ensure timely and accurate payroll processing. Cash application, other data entry, scanning, filing and shredding will be required. Minimal backup duties for the receptionist will also be expected.

Duties:

• Data entry

• Managing missing timesheets and timesheet approvals

• Processing payroll

• Purchase order maintenance and invoicing

• Distribution of invoices (mail and email)

• Cash applications (lockbox and ACH deposits)

• Scanning

• Filing

To be considered for this job, candidates may be required to have the following skills and experience:

Skills/Qualifications:

• Organized with Attention to Detail

• Excellent communication skills (with internal and external customers)

• Ability to follow time-line, but able to be flexible when necessary

• Intermediate Excel skills

• Strong data entry skills

• Personable/pleasant on phone

• Payroll and/or billing/invoicing experience preferred

• QuickBooks experience helpful
